Job Description:
Job SummaryWe are searching for a self-disciplined,
well-coordinated, and diplomatic professional. to join the CK
Family.As a Front Office Specialist at CK Family Services, you will
be responsible for the front office coordination, including but not
limited to answering and directly incoming calls, greet guests to
determine purpose direct to appropriate staff, and manage faxes for
the agency. General administrative duties as requested, including
but not limited to data entry, filing,General
ResponsibilitiesAnswer incoming calls in a timely and effective
manner. Maintain professional, appropriate and consistent telephone
etiquette. Direct calls to the appropriate person.Greet guests upon
arrival, determine their need and refer them to the appropriate
person in a timely manner.Maintain the professional appearance of
the Arlington office including but not limited to the front lobby,
playroom, kitchens, office supply cabinet, mail area and all
conference rooms.Responsible for watching children when visiting
the office.Responsible for set up and tear down of in house
training and hospitality events.Monitor incoming and outgoing faxes
for the agency. Ensure faxes are emailed to the appropriate person
in a timely and accurately manner.Responsible for qualifying
referrals for the psychologist and assist scheduling process as
needed.Monitor adoption referrals. Ensure referrals are entered
into the database accurately and timely. Reporting any issues to
your supervisor.Track and manage post adoption service plans.
Ensure service plans are entered and routed accurately. Once
received from DFPS, ensure service plans are entered and filed
accurately and timely.Responsible for distributing incoming
deliveries or courier packages as received.Responsible for picking
up the mail weekly. Ensure routed to the appropriate person within
the day collected.Complete and report documentation timely and
accurately.Open and process mail / e-mail daily in a timely
manner.Attend all meetings and in-services as deemed
appropriate.Maintain compliance with all policies, procedures, and
licensing requirements of Covenant Kids.Perform other duties and
tasks as requested.QualificationsRequires in-depth understanding of
a comprehensive field of knowledge. Involves ability to define
problems, collect data, establish facts, and draw conclusions
dealing with abstract variables. Knowledge normally associated with
attainment of a high school diploma; some college or vocational
training is preferred. Requires minimum of one-year previous
experience in general office duties.Must be able to type a minimum
of 40 wpm.Ability to work under minimal supervision.Excellent
organizational and follow-up skills.Excellent interpersonal skills
and demonstrated ability to effectively communicate orally and in
writing with a variety of people; maintain confidentialityMust
possess proficient computer hardware and software skills necessary
to create letters, memorandum, forms, spreadsheets, and other
similar documents accurately and in a timely manner.Demonstrated
and verifiable dependability, flexibility and attention to
detail.Ability to follow direction.Ability to perform multiple
tasks.Maintain professional demeanor and appearance required.Work
deals mostly with areas such as preparing and reading data and
figures, reports; visual inspection involving small details.
Although important, depth perception and field of vision
(peripheral) are not as critical as the ability to distinguish
small details and markings very near to the observer.Ability to
speak clearly and make self-understood in face-to-face
interactions; to articulate with accuracy on the telephone.Ability
to hear and receive verbal instructions, answer phones, communicate
in situations with some background noise.Ability to concentrate on
fine detail with some interruption; ability to focus attention on
tasks for 45-60 minutes at a time on a continuous basis.Ability to
understand and relate to the theories behind several related
concepts; ability to remember verbal and written tasks/assignments
from a few hours to long periods of time (months).Ability to
recognize differences in sound, such as voices/noises that are loud
and playful instead of angry and combative; and ability to
differentiate tones and volumes in conversations.Perform the
physical demands of the position -Ability to use up to 20 pounds of
force occasionally and/or up to 10 pounds of force frequently
and/or a small amount of force continuously to lift, carry, push,
pull or otherwise move objects, including people. Work can be done
while sitting most of the time. Walking and standing are required
occasionally.Ability to walk frequently; stand or sit for prolonged
periods of time; squat occasionally, climb stairs infrequently, and
kneel and twist as needed.Sufficient good health to properly
fulfill all role responsibilities. Employees shall not be permitted
to work who have infectious diseases or skin lesions for the
duration of the communicability.Ability to perform moderately
difficult manipulation such as writing, typing, foot and hand-eye
