Job Description:

GENERAL PURPOSE:Provides direction and accountability for business operations provided within Business & Industry and Cargo divisions. Regularly meets with Commercial Accounts Manager, Supervisory and Officer Staff to provide staffing and maintain compliance with all client requirements. Responsible for staffing, scheduling, payroll and billing submitted by required deadlines. Responsible for recruiting and managing the hiring process of commercial staff to ensure all aspects of the process are done thoroughly and in compliance with Andy Frain best practices. Works with Commercial Account Manager to ensure proper staff fulfillment and management of employees in the field.RESPONSIBILITIES/DUTIES:Below are the essential functions of the position.--Other duties may also be assigned.--Please note that the essential functions may vary depending on department size, organizational structure and/or geographic location. Reasonable accommodations may be made to allow differently-abled individuals to perform the essential functions of the job.--The incumbent:-- Strong Customer Service skills are a must.-- Learn and effectively use ABI Workforce Management system.-- Schedule staff to fill client need.-- Field all emails and calls for schedule updates and changes (laptop, software and mobile phone provided).-- Point of contact for new schedule requests and fulfillment, will maintain appropriate supply levels to support operational needs.-- Communicate effectively to management regarding schedule status.-- Record proper notations in ABI of call offs, late arrivals or no shows. -- All payroll must be completed and submitted properly within 24 hours of the event.-- Ensure that all credentials have been issued and print as needed for new hires-- Responsible for communication with employees via email and ABI. -- During downtimes, random training audits of employee records should be completed in accordance with contractual and SAFETY Act requirements. -- Carries out all responsibilities in an honest, ethical and professional manner-- Provide technical software support to employees or applicants in person or via phone/email.-- Present a professional and pleasant image of product and company-- Exceed expectations with outstanding customer service-- During the offseason, the coordinator is required to assist with other accounts within the market and outside the market as needed. -- Understand all Andy Frain Services policies, and procedures. Administer as needed. -- At the direction of the Operations Manager, intervenes, when necessary, in resolving personnel problems and guides counseling of Security Supervisors and Officers.-- Works closely with the Commercial Account Manager to ensure the efficient, effective and compliant operations of all Business & Industry/Cargo accounts within the Operational Area. -- Manages uniform and equipment inventory for B&I/Cargo accounts. -- Works with Commercial Account Manager and Business Services Manager to establish and execute a recruiting plan.-- Responsible for the hiring process and management of employee files, in conjunction with Business Services Manager. -- Issues and assists with credentialing and handles uniform requirements for all sites. -- Assists in filling roster after initial submission from Business Services Manager. Ensure all positions are staffed and built in ABI prior to pre-established deadlines. -- Will routinely check and audit field locations.-- Primarily responsible for communicating with employees, includes email responses and phone monitoring to ensure timely and consistent communication with employees-- Managed time and payroll processing to correctly submit all payroll and billing weekly.-- Submits Billing summaries to designated Billing Specialist(s).-- Ensures weekly payroll reports have been run prior to deadline and correct any errors.-- Will be an effective member of and lead project teams.-- Acts as readily available resource to client(s) Security Staff and Security Supervisors in the area of operations.-- Must be prepared to act as the Commercial Account Manager, as needed in their absence.-- Responds in a timely manner to all email and verbal communications. -- Carries out all responsibilities in an honest, ethical and professional manner.-- Support other departments or offsite locations as assigned by the Operations Manager. Supervises:Security Supervisors, Security Officers, Others as assignedMINIMUM QUALIFICATIONS:The following are the minimum qualifications which an individual needs in order to successfully perform the duties and responsibilities of this position.--Please note that the minimum qualifications may vary based upon the department size and/or geographic location.Knowledge:-- High School Diploma required, Associate degree preferred or equivalent experience.-- Two years of progressively responsible experience including supervision (or equivalent experience) required; two years preferred.-- Demonstrated knowledge of security operations, workplace health and safety issues.-- Evidence of ability to work autonomously using sound judgment reflecting strong customer service orientation.Skills/Abilities:-- Strong oral and written communications skills.-- Computer skills required.-- Superior planning, organization and leadership/supervisory skills.-- Strong customer and quality orientation.-- Prior training experience preferred.-- Ability to be a hands-on, results oriented employee, handling multiple priorities simultaneously.-- Ability to facilitate progressive change.PHYSICAL DEMANDS:In general, the following physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job.--Reasonable accommodations may be made to allow differently-abled individuals to perform the essential functions of the job.Must be able to see, hear, speak and write clearly in order to communicate with employees and/or other customers.--Manual dexterity required for occasional reaching and lifting of small objects, and operating office equipment.Travels as required to meet operational needs.WORK ENVIRONMENT:In general, the following conditions of the work environment are representative of those that an employee encounters while performing the essential functions of this job.--Reasonable accommodations may be made to allow differently-abled individuals to perform the essential functions of the job within the environment.* The office is clean, orderly, properly lighted and ventilated.--Noise levels are considered low to moderate.
